We build offline-first software because we believe your data is yours. Here's exactly what that means — in plain English.
Our desktop apps are offline-first. Your documents, your activity, and your data stay on your device. We don't collect them, we don't upload them, and we never sell them. There are no ads inside the apps and no advertising ID — our mobile apps include only anonymous, aggregate usage analytics, described in section 3(f).
By default, what you do inside a Kaizen app stays on your computer. The only times data leaves your device are the few specific, optional, and necessary cases listed below — and we tell you exactly what they are.

Our desktop applications are designed to run locally on your machine. The files you open, the text you extract, the speech you generate, the screen-time activity you monitor, and your settings are stored on your device. We do not have a copy, we cannot see them, and we do not transmit them to our servers for any general-purpose collection.
We don't show ads and we never build a profile of you. Our desktop applications embed no third-party analytics at all. Our Android apps include one privacy-preserving exception — anonymous, aggregate usage analytics (Google Analytics for Firebase, with no advertising ID) — described in section 3(f) below.
To be completely honest, there are a few specific situations where information is sent somewhere. Here is the full list:
Some apps offer optional, premium cloud capabilities that you turn on and power with your own service credentials ("Bring Your Own Key"). For example:
When you use a BYOK feature, the relevant content is sent directly from your device to your own Microsoft Azure account for processing — not to us. That data is handled under your Azure agreement and Microsoft's privacy terms. These features are entirely optional and only run when you choose to enable and use them.
When you buy a license, your payment is processed by Paddle.com, which acts as our Merchant of Record. Paddle collects and processes the billing information needed to complete your purchase (such as your name, email, billing address, and payment details). We receive only the limited order information required to deliver your license and provide support. Paddle's handling of your data is governed by Paddle's own privacy policy.
This website (kaizen-apps.com) — separate from the apps — uses a few common services to understand traffic and stay secure:
These services may set cookies and process technical data such as your IP address, browser, and pages visited. This is standard website analytics and security — it is not connected to anything you do inside the desktop apps.
When you activate a paid license, the app contacts our licensing server to validate your license key and confirm your entitlement. This exchange involves your license key and basic activation details only — it does not include your personal documents, files, or app content. Alongside it, a desktop app reports that it is alive so we can count installs and see which versions are still in use: the product name, the app version, a device identifier generated by the app, the Windows account name, and your e-mail if you have entered one. We do not store your IP address and we do not record or derive your location — as of 26 September 2026 both were removed from our servers, and historic values were deleted. We do not log which apps or websites you use, and we do not send any record of your activity. On our mobile apps, if you choose to verify a license or your email, this can include your email address, phone number, and an app‑generated device identifier (plus device model, app version, and IP address) — see each app's Play Store privacy policy for details.
Kaizen Focus can link several PCs into an office so they share one set of rules, and can optionally make that office viewable in a browser at focus.kaizen-apps.com. This is the only feature that sends anything about activity off a PC, and it is off until an administrator turns it on from the main PC. When it is on, the PCs in that office sync their shared rules and a daily activity summary (active and idle time, top apps and sites, rules triggered) plus, if screenshot monitoring is enabled, the screenshots that feature captures. It applies only to PCs joined to that office — never to a single-PC install — and every request is refused without the office’s own code. Switching it off ends any signed-in browser session immediately, and an administrator can clear the office’s online data at any time.
Our Android apps (Kaizen Timer, Kaizen Locator, and Kaizen Focus) include Google Analytics for Firebase to measure aggregate usage — how many people open the app, which screens are used, and whether features work. It records only standard automatic events (app opens, screen views, session starts) and basic technical data (device model, Android version, app version, and an approximate region derived from your IP address). This analytics is aggregate and anonymous, it does not include the Android advertising ID, and it is never used for advertising or to profile you. Each app's Play Store listing carries its own detailed privacy policy.
App data lives on your device for as long as you keep it — and you can delete it at any time by removing it from your computer. For purchases, we (and Paddle) retain the order and billing records needed for support, warranty, tax, and legal compliance. Website analytics data is retained according to each provider's standard retention settings.
You can ask us to access or delete the limited personal information we hold about you (such as your order and support records). Just email [email protected] and we'll honor data access and deletion requests. For billing data held by Paddle, or content processed by your own Azure account, you can also exercise your rights directly with those providers.
Our products are intended for general and family use (some, like Kaizen Focus and Kaizen Timer, are tools for parents). They are not directed at children for the purpose of collecting their data, and we do not knowingly collect personal information from children.
If we update this Privacy Policy, we'll revise the "last updated" date above. Significant changes will be reflected on this page.
