How to Set Up Screenshot Monitoring
Follow these steps to configure screenshot monitoring on employee workstations.
Step 1: Enable Screenshot Capture
Open Kaizen Focus and navigate to the Screenshot settings. Toggle on Enable Screenshot Capture. Choose your preferred capture interval: every 5 minutes, 10 minutes, 15 minutes, or 30 minutes. A 10-minute interval provides a good balance between oversight and storage space. Screenshots are saved locally on the employee's machine.
Step 2: Configure Capture Schedule
Set screenshots to capture only during work hours. Configure the active monitoring window -- for example, 9:00 AM to 6:00 PM, Monday through Friday. Screenshots are not captured outside these hours, during lunch breaks, or on weekends. This respects employee privacy and ensures monitoring is limited to work time only.
Step 3: Set Up Email Reports
Enable email reports to receive daily or weekly summaries of employee activity. Reports include app usage statistics, time spent on each application, blocked website attempts, and a summary of productive vs. non-productive time. This gives managers a high-level view without needing to review every screenshot individually.
Step 4: View Screenshots and Reports
Access captured screenshots directly through Kaizen Focus on the employee's machine, or view them via the admin dashboard. Screenshots are organized by date and time, making it easy to review activity for any specific period. Use the timeline view to quickly scan through a day's activity and identify any concerns.

Configure screenshot capture to run only during scheduled work hours. Disable monitoring during lunch breaks, before/after work hours, and on non-working days to respect personal time.
