Having trouble with Kaizen OCR & PDF? This guide covers common issues and their solutions.

Installation Issues

Installer won't run or shows a security warning

Windows SmartScreen may block the installer because it's from a smaller publisher. This is normal and safe.

Solution:

  1. Click More info on the SmartScreen warning dialog
  2. Click Run anyway to proceed with the installation
  3. The installation will proceed normally
Installation fails with an error

Solutions:

  1. Ensure you have Windows 10 or later
  2. Run the installer as Administrator (right-click > Run as administrator)
  3. Temporarily disable your antivirus software during installation
  4. Ensure you have at least 500 MB of free disk space
  5. Download a fresh copy from kaizen-apps.com

OCR Accuracy Issues

OCR results are inaccurate or garbled

Solutions:

  1. Use Advanced OCR instead of Easy OCR for more control
  2. Enable preprocessing tools:
    • Denoising -- removes image noise
    • Sharpening -- makes text edges clearer
    • Thresholding -- converts to high-contrast black & white
    • Deskew -- straightens tilted documents
  3. Try a different OCR engine:
    • Switch between Paddle OCR and Tesseract OCR
    • Paddle OCR works better for structured documents, tables, and layouts
    • Tesseract works better for simple, clean text
  4. Improve source image quality:
    • Use at least 150 DPI (300 DPI recommended)
    • Ensure good lighting and focus
    • Avoid shadows and glare
OCR doesn't detect the correct language

Solution:

  1. Open Advanced OCR
  2. Select the correct language(s) for your document
  3. For multi-language documents, select all relevant languages
  4. Paddle OCR generally handles mixed languages better
Tables or structured content is not preserved

Solution:

  1. Use Advanced OCR with Layout Preservation enabled
  2. Select Paddle OCR as the engine (better for tables)
  3. Ensure the source image has clear table borders and gridlines

PDF Issues

Can't open a password-protected PDF

You must know the correct password to process a protected PDF. Kaizen OCR cannot bypass or crack unknown passwords.

Solution:

  1. Use the PDF Remove Password feature
  2. Enter the correct password when prompted
  3. The unlocked PDF will be saved to your output folder
PDF conversion produces unexpected results

Solutions:

  1. Ensure the source PDF is not corrupted -- try opening it in another PDF reader first
  2. For scanned PDFs, use OCR first to extract text, then convert
  3. Try converting to a different intermediate format (e.g., PDF to TXT, then TXT to DOCX)
Extracted images from PDF are low quality

The Extract Images feature preserves the original image quality embedded in the PDF. If the extracted images appear low quality, the original images in the PDF were low resolution.

Solution:

  1. Try extracting in PNG format for lossless quality
  2. Use TIFF format for maximum quality preservation

License & Activation Issues

License activation fails

Solutions:

  1. Ensure you have an active internet connection (required only for activation)
  2. Double-check that the license key is entered correctly (no extra spaces)
  3. Verify the license key hasn't already been activated on another machine
  4. Contact [email protected] with your license key and order details
Free uses are exhausted

The free version includes 7 uses per feature. Once exhausted, upgrade to a Pro plan for unlimited usage.

Performance Issues

OCR processing is very slow

Solutions:

  1. Close other resource-heavy applications
  2. Use Tesseract OCR instead of Paddle OCR for faster (but less accurate) processing
  3. Process smaller batches of files at a time
  4. For large images, reduce the resolution to 300 DPI before processing
  5. Ensure your system meets the minimum requirements (4 GB RAM, Intel i3 or equivalent)
Application freezes or becomes unresponsive

Solutions:

  1. Wait a few moments -- large files may take time to process
  2. Check Task Manager to ensure the application is still running
  3. Restart the application
  4. If the problem persists, reinstall the application
