User Profiles¶
User profiles let you configure separate monitoring settings for each employee using the computer. Each profile has its own set of rules, restrictions, and activity logs.
Creating a User Profile¶
- Open Focus settings with the admin password.
- Navigate to Employee > User Profiles.
- Click Add Profile.
- Enter the profile details:
- Name -- The employee's name or identifier
- Windows user account -- Link the profile to a specific Windows user account (optional)
- Department -- Optional grouping for organizational purposes
- Click Create.

Profile Settings¶
Each profile can have its own configuration:
Monitoring Level¶

Restrictions¶
Apply per-profile restrictions:
- Blocked websites -- Sites specific to this user's block list
- App limits -- Time limits on applications for this user
- Downtime -- Scheduled restricted periods
Reporting¶
Configure reporting preferences per profile:
- Email report frequency
- Report recipients
- Data included in reports
Linking to Windows Accounts¶
For computers shared by multiple employees, link each Focus profile to a Windows user account:
- Open the profile settings
- Under Windows Account, click Link
- Select the Windows user account from the list
- Click Save
When that Windows user logs in, Focus automatically switches to their profile and applies their specific rules.
Single-User Machines
If each employee has their own computer, you only need one profile per installation. Linking to Windows accounts is mainly useful for shared workstations.
Managing Multiple Profiles¶
The profile list shows all configured users with a quick summary:
- Name and department
- Monitoring level
- Number of active restrictions
- Last activity date
Editing a Profile¶
Click any profile to edit its settings. Changes take effect immediately.
Deleting a Profile¶
Select a profile and click Delete. You will be asked whether to keep or delete the associated activity data.
Data Retention
Deleting a profile can optionally remove all associated monitoring data. If you need to retain records, choose to keep the data or export it before deletion.
